How do I build a financial model for a real estate development?

Start with a list of cost items and a monthly sales plan: how many units, at what price and when. That gives you the cash flow. In Smart plan you set the cost items and plan once, and actuals and revenue are pulled in automatically from the bank statement and the CRM.

How much does the financial model in Smart plan cost?

The module is enabled on request, and we quote a price after talking through your project. Contact us: we'll show the module in a demo and price it for your projects.

What is the difference between a financial model and a project budget?

A budget is planned and actual spending by cost item. A financial model adds revenue, timing of receipts and the bottom line: margin and payback date. In Smart plan they are linked: the budget is part of the model.

How do I upload a bank statement?

Go to "Finance" → "Transactions" and click "Import statement". Transactions are assigned to cost items using the rules you set. Data from 1C is uploaded the same way.

Can I keep budgets for several projects?

Yes, each project has its own budget with plan and actuals. A developer with several projects sees how much has been spent on each one.

How is escrow money tracked?

The project overview shows investment, construction and escrow side by side. You can see how much buyer money has been collected and how much the project is building with its own or borrowed funds.

Does Smart plan calculate IRR and NPV?

Smart plan collects the project's cash flow: plan, actuals, payments and sales receipts. We can go over which metrics your investor or bank needs in the report during a demo.

How are payment requests approved?

Requests live on the "Requests" tab and go through approval. Once approved, they move to the payment calendar, and the payment from the bank statement closes them as actuals.

Is there construction and materials tracking?

Yes, there is a construction section: work packages, warehouse, requests and purchasing. The system tells you in advance how much material you will need. It is enabled on request.

Can I move an existing model over from Excel?

Yes, cost items and planned amounts are transferred into the budget during setup. After that, actuals come from the bank statement and you no longer have to reconcile the spreadsheet by hand.

Do I need a finance person to run the model?

It's best to set up cost items and assignment rules together with your finance lead. After that the daily work is simple: upload the statement, review unclear transactions, approve requests. Management sees plan vs. actual without help from accounting.

How is Smart plan different from developer accounting software built on 1C?

1C runs your accounting; Smart plan does not replace it and pulls data from it. What Smart plan adds is sales, unit prices, reservations and installment plans right next to the budget. The model sees both spending and revenue in one place.

What is a real estate development financial model

A financial model for a development project answers three questions: how much it costs to build, how fast and at what price you can sell, and what is left at the end. For a housing community that means land, utilities, roads and marketing against revenue from plots and homes. For a residential complex it means the shell, finishes and infrastructure against apartment sales across construction stages.

Most teams build the model in Excel before launch, show it to an investor or a bank, and then forget about it. Six months later prices have changed, a contractor has gone over budget and sales are slower than planned. A model that does not see actuals can no longer answer the main question: will the project make money?

  • Revenue: how many units sell, at what price and in which month.
  • Cost: land, design, utilities, construction, marketing, broker commissions.
  • Margin: the difference between revenue and cost, for the whole project and for each phase.
  • Cash flow: when money comes in and when it goes out.
  • Funding sources: equity, sales proceeds, project financing.

How the real estate development financial model works in Smart plan

The module is enabled on request. We set up the project and its cost items together with your finance lead, and from then on the data flows in on its own: from sales, from the bank statement and from payment requests.

  • Set up the project, its phases and units. The site plan, the unit availability chart and the CRM run on the same data, so revenue in the model comes from real prices and statuses.
  • Set a budget by cost item for each project: land, utilities, roads, construction, marketing. This is your plan.
  • Upload a bank statement or data from 1C. Transactions are assigned to cost items automatically, using rules you set up once.
  • Manage payment requests: they go through approval and roll up into the payment calendar.
  • Open the project overview: plan next to actuals, investment, construction and escrow balances.

Developer budgeting: plan vs. actual for the project budget

A budget by cost item is the foundation of any model. In Smart plan every budget line has a plan and an actual, and the variance is visible right away, with no summary spreadsheet someone has to update. If utility work gets more expensive, you see it in the project budget the same day the statement arrives.

Payment requests go through approval. Approved requests roll up into the payment calendar, so you see not only what has been spent, but also what is due in the coming weeks.

When a payment clears the bank, it lands in the actuals for its cost item and the request closes. Management sees which payments are approved, which are paid and how much cash is needed through the end of the month. That is developer financial accounting software without a separate spreadsheet.

Revenue, escrow, project cash flow, IRR and NPV

Where apartments are sold off-plan and sales go through escrow, buyers' money becomes available to the developer only after the building is completed. Until then the developer builds with its own funds or a bank loan. So in an apartment complex model what matters is not just revenue, but the moment that cash becomes available.

In a housing community where plots are sold outright, money usually comes in right away or on an installment schedule. Here the pace of sales matters more: how many plots sell per month and whether there is enough cash for the next phase of utilities and roads.

Smart plan shows investment, construction and escrow side by side in the project overview. Revenue comes from real reservations and sales in the CRM, and the schedule of installment receipts comes from the installment module.

Cost in the model is live too. Construction actuals come from the bank statement and closed payment requests, not from a year-old estimate. If a phase's margin starts to slip, you see it before you set prices for the next one.

Project cash flow is a month-by-month table of money in and money out. A project that is profitable on paper can stall if construction spending outruns receipts in some month. That is why a developer cares not only about the final number, but about the low point, when cash is at its tightest.

IRR and NPV are the metrics investors and banks use to compare projects. NPV tells you what the project is worth in today's money at a given discount rate. IRR tells you the rate at which the project breaks even. Both are calculated from cash flow, so without an honest cash flow they mean nothing.

Smart plan provides the data for these calculations: plan and actuals by cost item, the payment calendar and sales receipts. We can go over which metrics your investor needs in the report during a demo.

It is also worth watching how pricing ties into the model. A small discount on half the community looks minor, but it shows up immediately in the final margin. That is why discount limits and promotions in Smart plan live next to the budget, not in sales reps' chats.

Smart plan vs. Excel and separate tools

Excel works well for the first calculation. The trouble starts when the model has to stay live: pulling actuals from accounting, prices from the price list and sales from the CRM.

Who the financial model and budget in Smart plan are for

For a community selling plots for private homes, where the land is already bought and utilities and roads are built in phases from sales proceeds. The key things here are the pace of sales and the payment calendar for contractors.

For an upscale housing community with homes: construction, warehouse and material purchasing are added to the budget. The system suggests how much material you will need. This section is also enabled on request.

For an apartment complex with escrow and project financing, where buyers' money is not available until completion, and for a developer with several projects who needs a budget for each one plus a company-wide view.

A real estate development financial model is useful even before launch, when you are deciding whether to take on a site. Enter cost items and a sales plan, look at the cash flow and margin, and after launch the same model starts tracking against actuals. No need to copy numbers from the investor deck into your working system.

Integrations

Data flows into the model from the systems you already use. The bank statement is uploaded from your bank, accounting data from 1C. Sales come from the Smart plan CRM or from your own CRM: Bitrix24 and amoCRM connect in a few steps, and a deal moved to reservation reserves the unit automatically.

Unit prices and statuses are shared by the site plan and availability chart on your website, the listing export to Cian and Avito, and sales proposals. When a price changes, it changes in the model too.

The model itself stays inside: only the employees you grant access can see the finances. Every change to a project is kept in the change history, and a mistaken bulk edit can be undone with one click.
